Robert Half Executive Assistant in Addison, Texas

Description We are seeking an Executive Assistant to join our team based in Addison, Texas. This role is within the Construction/Contractor industry and presents a contract to hire employment opportunity. As an Executive Assistant, you will be responsible for providing comprehensive administrative support, coordinating travel arrangements, and handling multiple priorities effectively.

Responsibilities:

• Organize and execute corporate meetings and personal events

• Coordinate travel arrangements for cost effectiveness

• Handle multiple priorities and demands while maintaining a positive attitude

• Maintain a high level of privacy and confidentiality in all tasks

• Show proactivity in tasks, ensuring details are never overlooked

• Provide executive administrative support including managing calendars and coordinating interfaces with other company organizations, clients, and external groups

• Perform administrative duties including calendar management, phone coverage, meeting coordination (including catering, teleconferences and video conferences), report preparation, presentations, and composing correspondence for signature

• Prepare meeting materials and create itineraries

• Maintain organizational skills, paperwork file maintenance and distribution

• Use skills in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, Documentation, and Scheduling Appointment

• Clear obstacles and uncertainty before they become issues, always looking ahead. Requirements • Proven experience as an Executive Assistant in the Construction/Contractor industry

• Proficient in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time

• Exceptional skills in Calendar Management and Scheduling Appointments

• Excellent ability to handle correspondence and documentation

• Experience in providing support to C-Suite executives

• Strong organizational skills with the ability to multi-task

• Outstanding written and verbal communication skills

• Ability to maintain a high level of confidentiality and discretion

• Detail-oriented with strong problem-solving skills

• Ability to work independently and as part of a team

• Willingness to adapt to changing business needs and deadlines

• Professional demeanor and attitude

• Ability to prioritize and manage multiple tasks simultaneously

• High level of initiative and self-motivation

• Excellent time management skills

• Ability to work under pressure and meet tight deadlines.
